Here’s another of our many products. We’ve built an application for reporting public events. The goal was to create an electronic way of reporting public gatherings. The application makes it simpler for residents and organisations to report public cultural events, and it supports stricter compliance with the local ordinance. It removes the possibility of reporting an event too late, and at the same time keeps a record of events running during quiet hours at night.
How the application works
The application is used to report cultural events within the town’s remit. The web interface lets the organiser file a report of a public event automatically, without visiting in person and without an official having to step in. Once a report has been filed correctly, the organiser receives an e-mail with a link to download the completed permit for holding the event. At the same time a link goes out to the e-mail addresses of the officials designated to receive notifications.
An organiser registers in the system only once, in person at the relevant town office, where they receive a username and password tied either to one legal entity (by company ID) or to a contact person. The user has to enter the specific timing of the event, so that its type can easily be determined in line with the town’s ordinance and no conflict with that ordinance arises. All events remain stored and can be looked up by year and by week or month, including a record of who approved a given event (either the approver’s name, or automatically). Automatic approval can be set for events finishing by 10 p.m., while events running into the early hours — during quiet hours — are placed in a queue for the relevant official at the town office to assess and approve.
The application also allows recurring events, or events reported together, to be approved in one go, with a single notification. Events entered in bulk are always broken down in the system into individual specific dates. The system also includes statistics kept by the relevant office, which make it possible to look up how many events were held in a calendar year and how many exemptions for holding public events were granted.
The application reduces the administrative work involved in filling in paper forms and saves time for the official handling it. The organiser no longer has to make repeated trips to the office to report a public event. Everything can be reported electronically, which speeds up the approval process itself and cuts administrative costs.
